The Company provides an AI-powered pre-submission visa document review service for travel agencies and tour operators: agencies upload application packets, and the service analyses each packet against destination-specific requirements to identify missing or non-compliant documents before submission to the relevant embassy or consulate. Because our customers process applications for international travel across many destination countries, we are committed to handling personal information responsibly and in line with applicable data protection obligations and international good-practice standards.

2. Information We Collect

We collect the following categories of personal information:

Account and registration data. When a travel agency creates an account, we collect first name, last name, agency or company name, email address, and a password stored as a cryptographic hash.

Visa application packet data. Travel agencies submit application packets for document review. These packets may contain personal information about visa applicants, including passport details (name, date of birth, passport number, photograph), bank statements, travel itineraries, travel insurance documents, accommodation bookings, consent forms, and employer letters. The Company processes this data solely to run the document completeness analysis and produce a deficiency report. We do not use application packet content to train AI models without explicit written consent from the submitting agency.

Review output data. Deficiency reports, risk-score outputs, and structured analysis results generated from uploaded packets.

Usage and technical data. Page interactions, feature clicks, browser type, device type, IP address, and session timestamps collected automatically when you use the Service.

Communications. Messages sent to [email protected] or via the website contact form.

3. How We Use Information

We use the information we collect to:

  • Run the visa document review: parse, classify, and compare uploaded documents against destination-specific rules and return a line-item deficiency report.
  • Manage your agency account and authenticate logins.
  • Send transactional communications, including review completion notifications, account confirmations, and support responses.
  • Improve the accuracy and coverage of the document classification system using anonymised structural metadata (document-type distribution, field presence patterns) that does not include applicant personal information.
  • Comply with applicable Indian law and respond to lawful requests from competent authorities.

We do not sell personal information or use it for third-party advertising.

4. Sharing

We share personal information only in these circumstances:

  • Service providers. Cloud infrastructure, database hosting, and email delivery providers operate under written contracts that prohibit independent use of data. Uploaded documents are stored on servers located in India.
  • Professional advisers. Legal counsel and accounting professionals, under professional confidentiality obligations.
  • Law enforcement. When required by Indian law or pursuant to a valid court order.

We do not share visa applicant data with any party outside the service delivery chain described above.

5. Retention and Security

We retain personal information as follows:

  • Account data: retained while the account is active; deleted within 90 days of account closure upon written request.
  • Uploaded application packet files: retained for 30 days after the review is delivered, then permanently deleted from our servers.
  • Deficiency reports: retained for 90 days; available for export at any time within that window.
  • Communication records: retained for 12 months.
  • Usage analytics: retained for up to 13 months on a rolling basis.

We apply technical and organisational safeguards including encryption of data in transit (TLS) and at rest, access controls limiting document access to the review processing pipeline, and periodic security reviews.

6. Your Rights

Subject to applicable law, you may have rights to access, correct, delete, or restrict use of personal information we hold about you, and to object to certain processing or withdraw consent. Agency customers may also request early deletion of uploaded application packet data ahead of the standard 30-day window at any time.
